Gobblerfest 2025 WAITLIST Sign-ups


Policies and Expectations Agreement

Thank you for your interest in participating in Gobblerfest 2025 on Friday, August 29, 2025 from 4-7 pm! Please read the important details below before moving forward.

Waitlist Logistics

  • To sign up for Gobblerfest as a student organization, your student organization MUST have completed all registration requirements and be an approved organization for the 2025-2026 academic year.
  • Waitlist submissions will be accepted until August 27, 2025.
  • Waitlist groups are not eligible for performances at the demonstration area, or to bring any items that required additional levels of approval such as vehicles or large display items.
  • Once your form is submitted, you will receive a confirmation message from gobblerfest@vt.edu when we've officially identified a spot for your organization.
If you need to make changes, updates, or cancel your submission, please email gobblerfest@vt.edu.

Booth Space Details

  • Booth spaces (12’ x 12’) will be assigned to you.
  • All items must fit within the booth space provided. Items outside the booth space will be removed.
  • One 8’ x 2’ table will be provided for you at your booth.
  • You are responsible for any chairs or tent for your booth if desired, please see tent policy below.


Tent Policy
Each participating group may only have one tent. Tents may not be larger than 10’ x 10’ and must be in safe, working condition. Inspections of all tents will be conducted on-site before the event begins. All tents must be staked to the ground or weighed down with sand bags. 


Booth Inspections
Inspection of all booths will be conducted before the event begins. Any issues (safety, health, etc.) will need to be resolved immediately. Non-compliance will result in the removal of the organization from Gobblerfest without any refunds if payments were made.

Food and Beverage Service Guidelines
Groups participating in Gobblerfest will only be allowed to distribute food and beverages if they are pre-packaged, as outlined in the Food and Beverage Service Guidelines. 

Required
